Privacy Policy
How we handle the personal information you share with us.
Privacy Policy
This privacy policy explains how Flooring Trade Ltd trading as Esher Floor Sanding ("we", "us", "our") collects, uses and protects your personal data when you use our website, request a quote or work with us. We are committed to handling your information fairly and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Flooring Trade Ltd t/a Esher Floor Sanding is the controller of the personal data described in this policy. If you have any questions about this policy or how we use your data, please get in touch through our contact page.
The information we collect
We collect the information you give us when you fill in a form on our website, call us, email us or meet us at a survey. This may include:
your name and title;
contact details, such as your email address and phone number;
the address and postcode of the property where the work would take place;
details of your project, such as the type of floor, its size and condition, the services you are interested in and your preferred dates;
photos of your floor that you choose to upload or send to us;
if you apply to become a partner, details of your trade, experience, location and availability;
records of our correspondence with you and of any work we carry out.
When you visit our website, our servers also record basic technical information such as your IP address, browser type and the pages you request. This is used to keep the website secure and working properly, and to protect our forms against spam and abuse.
How and why we use your information
We use your personal data only where we have a lawful basis to do so:
To respond to your enquiry, arrange a survey and prepare a quotation — because you have asked us to take steps before entering into a contract.
To carry out the work, schedule visits, invoice you and provide aftercare and guarantee support — to perform our contract with you.
To keep records for accounting, tax and insurance purposes — to comply with our legal obligations.
To review partner applications and organise work with partners — for our legitimate interest in running and growing our business.
To keep our website and forms secure and prevent fraud and spam — for our legitimate interest in protecting our business and our customers.
We do not use your data for automated decision-making or profiling, and we do not sell your personal data. We will only send you marketing messages if you have agreed to receive them, and you can opt out at any time.
Who we share it with
We only share your information where it is necessary for the purposes above, with:
our customer relationship and job management system provider, which stores enquiries and job details on our behalf;
our email and website hosting providers, which deliver our messages and run our website;
trusted partner craftsmen who carry out work on our behalf, who receive only the details needed to complete your job;
our accountants, insurers and professional advisers where required;
authorities or regulators where we are required to by law.
All our service providers act on our instructions and are required to keep your data secure. Where any provider stores data outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations or approved contract terms.
How long we keep it
We keep enquiry details for up to 2 years if you do not go ahead with any work, so that we can answer follow-up questions. If we carry out work for you, we keep your details and job records for 6 years after the work is completed to meet our legal, tax and insurance obligations and to support any guarantee claim. Partner applications that do not lead to work are deleted after 12 months. After these periods, your data is securely deleted or anonymised.
Cookies
We use cookies only for essential functionality. These cookies keep your session working as you move between pages, protect our forms against cross-site request forgery and spam, and remember that you have already opened our quote form. They are strictly necessary for the website to work, so they do not require your consent and are not used to track you.
We do not use advertising, profiling or third-party tracking cookies, which is why you do not see a cookie consent banner on our website. If we ever introduce non-essential cookies, we will update this policy and ask for your consent first. You can block or delete cookies in your browser settings, but parts of the website, such as our forms, may then not work correctly.
Your rights
Under data protection law you have the right to:
ask for a copy of the personal data we hold about you;
ask us to correct information that is inaccurate or incomplete;
ask us to delete your data where we no longer have a reason to keep it;
ask us to restrict how we use your data, or object to our use of it based on legitimate interests;
ask for your data to be transferred to another organisation where technically possible;
withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, please contact us through our contact page. We will respond within one month. There is normally no charge.
Keeping your data secure
We use appropriate technical and organisational measures to protect your personal data, including encrypted connections to our website, access controls on our systems and limiting access to the people who need it to do their job.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
We may update this privacy policy from time to time, for example if we change the services we use or the law changes. The latest version will always be available on this page.
